We are seeking an experienced Office Manager/Practice Administrator to lead and oversee the day-to-day operations of our well-established multi-provider private group practice specializing in internal medicine and infectious disease. The ideal candidate will have a strong background in medical practice management and the expertise to ensure smooth operations across multiple locations.

Key Responsibilities:

  • Practice Operations Management: Oversee administrative and clinical staff, ensuring efficient workflow and high-quality patient care, including managing all employee benefit programs.
  • Financial Oversight: Manage practice budgets, billing processes, and financial reporting, collaborating with billing staff to optimize revenue cycle management.
  • Provider Credentialing: Oversee credentialing and re-credentialing for all providers, ensuring compliance with insurance and regulatory requirements.
  • MIPS Compliance: Oversee Merit-based Incentive Payment System (MIPS) reporting and ensure the practice meets performance metrics.
  • eClinicalWorks (eCW) Administration: Optimize the use of the eClinicalWorks electronic health record (EHR) systems, providing support and training to staff as needed. Serve as the eCW point of contact for all matters related to the company’s EHR system.
  • Staff Management: Recruit, train, and supervise administrative staff, fostering a collaborative and professional work environment.
  • Policy Implementation: Develop, enforce, and update office policies and procedures to ensure compliance with HIPAA, OSHA, and other regulations, while delivering a positive patient experience.
  • Patient Satisfaction: Address patient concerns and ensure the practice delivers an exceptional patient experience.
  • System Administration: Serve as the system administrator for critical office tools, including Microsoft 365, RingRx phone system, and other essential software and hardware systems. Manage user accounts, troubleshoot technical issues, coordinate with vendors for system updates, and ensure technology supports efficient practice operations.

Preferred Qualifications:

  • Experience managing a multi-provider medical practice, ideally with multiple office locations.
  • Knowledge of credentialing processes and payer requirements.
  • Familiarity with Merit-based Incentive Payment System (MIPS) and other quality reporting programs.
  • Proficiency in eClinicalWorks (eCW) or similar electronic health record systems.
  • Strong organizational, problem-solving, and leadership skills.

Requirements:

  • A minimum of 3-5 years of medical office management experience, including hands-on experience with medical billing.
  • Excellent communication skills and ability to manage diverse teams effectively.
  • Knowledge of regulatory compliance in a medical practice setting.
